Health & Safety Management: Why Your Health And Safety Practices Should Be A Two-Way System

1 May 2024

Are you unsure if your current Health and Safety Management System sufficiently protects your teams? You're not alone. Many organisations face this challenge, and we are no different.

In 2013, we introduced our internal initiative, Take Care Be Aware (TCBA), promoting a positive health, safety, environmental and sustainability culture shaped by team member feedback. It operated on 3 key principles:

  1. Engage - Regularly communicate with and actively promote open, honest team feedback benefiting members and the organisation.
  2. Review - The Assurance Team reviews observations, suggestions, and near misses submitted by anyone in the organisation for additions to policies and procedures.
  3. Implement - Updates to Standard Operational Procedures, Policies or Guidance are communicated organisation-wide and regularly reviewed by the Assurance Team.

The Importance of Employee Engagement

Despite collaborative promotion efforts, we realised employee engagement was lacking - a key foundation for success. Gallup's 2016 meta-analysis showed business units with top-quartile engagement scores have 70% fewer safety incidents vs bottom-quartile units. An engaged workforce is a safe one, reducing accident-related costs and building trust between employees and employers.

Enhancing Communication for Improved Engagement

To improve engagement, we focused on communication as king. Annual surveys revealed our internal communications fell short, leaving teams disengaged and unaware of health and safety changes. Our two-way feedback system for improving practises was ineffective without a robust communication strategy.

We enhanced our system by:

  • Implementing a cohesive instant messenger platform for all
  • Increasing transparency of changes
  • Boosting meeting attendance and engagement
  • Appointment of TCBA representatives to liaise with local colleagues and teams to provide feedback and information across all levels of the business
  • Raising TCBA Representatives and Assurance Team member profiles
  • Communicating TCBA why and how to submit
  • Continuously reviewing communications based on team feedback

The results speak for themselves. Since implementing our cohesive internal communications strategy, we've seen a consistent increase in TCBA observation submissions, enacting substantial changes in our health and safety practices. This has resulted in fewer accidents and overall safer working practices for our staff, clients, and their customers.

Through our continued commitment to improving our Health and Safety Management System, we are proud to have been awarded two prestigious, internationally recognised RoSPA awards for our outstanding health and safety practices.

As a group, we will continue developing and improving our practices. By increasing engagement, we aim to create a cohesive, real-world Safety Management System benefiting our team and organisation, demonstrating Lucion and our group of companies are trusted suppliers of sustainable environmental and health and safety services.
